Principal Duties and Responsibilities 1. Greets visitors and hospital staff to the Home Care Department and to all other departments located at Arsenal office building. a.Ascertains nature of visits of employees and visitors, and refers to appropriate Arsenal Street MAH staff employee. b. Maintains daily visitor sign-in log sheet and files daily into binder. 2. Answers all external telephone calls by the third ring. a. Screens all calls and forwards to appropriate staff members, using voice mailbox system, cellular phones or text messaging system when necessary. b. Transfers calls to other Arsenal Street departments when received on the Home Care line. c. Takes accurate messages as required. d. Answers routine inquiries regarding agency services and refers those of a confidential and/or complex nature to appropriate personnel. 3. Receives, sorts and distributes mail for all Arsenal Street departments. a. Accepts packages, deliveries, certified mail, and subpoenas and contacts appropriate Arsenal Street MAH staff employee. b. Receives, sorts and distributes inter-office mail for Home Care staff. 4. Sorts, copies and prepares for internal and/or external mailing of all physician orders, discharge summaries and medication profile sheets. a. Addresses physician envelopes for inter-office and/or external mailing. b. Researches incorrect physician addresses and notifies office supervisor. 5. Addresses envelopes and mails all patient surveys. 6. Posts mail daily and is responsible for maintenance of associated machinery, e.g., the postage machine and meter. Proactively informs the office supervisor of monetary requirements for postage purposes. 7. Faxes physician orders and maintains daily fax log. 8. Coordinates answering service coverage. a. Forwards Home Care Department calls to answering service each evening and informs answering service of on-call schedule. b. Retrieves messages from the answering service each morning and routes them to appropriate personnel. Files messages in binder. c. Reports answering service problems to the office supervisor. 9. Supports Home Care departments with various duties. a. Creates clinical glove bags and Wound kit bags for clinicians. b. Creates Home Health Aide packets. c. Logs refrigerator temperature readings for lab pick-up d. Assists with the preparation of the admission folders. e. Files daily clinical notes in clinician’s mailbox 10. Assists with special projects as required.


KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED 1. High school diploma or equivalent with one year of experience answering a multi-line phone system, preferably in a healthcare environment. 2. Efficient skills with: typing, word processing, office practices, and office equipment required. 2. Good verbal and written communication skills. 3. Pleasant telephone manner. 4. Good organizational skills and attention to detail. 5. Ability to function in a liaison capacity as well as represent MAH philosophy and mission. 6. Knowledge of Windows NT, Windows 97 office products and proficient with usage of the internet usage.
