                Coordinates collection of all documentation needed for new agency appointments and agency transactions.   Reviews and coordinates all steps related to custom compensation amendments, including tracking and required reporting and coordination of the custom compensation payments.  Coordinates, reviews and processes all Agency Value Services (AVS) requests and reimbursements.  Coordinates process and communication for Agency Performance Sharing (APS) at 9-months and year-end, supplemental compensation payments, commission administration and assists with review of the Agency Agreement at review cycle.    Assists with developing and maintaining department procedures pertaining to agency agreements, agency compensation and AVS.
A.  ESSENTIAL FUNCTIONS (Listed in order of importance, frequency or sequence, 1=most important/frequent, etc.). NOTE:  Indicate non-essential accountabilities with an asterisk*.  All other functions are “absolutely necessary for this job”.
  1. Reviews all agency transactions, including new agency appointment documents, determines additional information or documentation needed and works with Distribution Specialist to gather the additional information or documentation. Provides information to Corporate Commercial Transactions (CCT) department in order for CCT department to issue and amend Agency Agreements.  Provides Licensing Specialist all needed information to add new agency appointments onto AIS3.0 and Legacy, including but not limited to segmentation status, agency combining/uncombining information and mapping information.
  1. Reviews all custom compensation applications, collaborates with legal  and business unit owner and communicates with business units in compliance with the service level agreement.   Tracks all custom compensation amendments, coordinates and provides reporting as requested, and coordinates custom compensation payments.  
  1. Coordinates the annual Agency Performance Sharing process (APS) at 9-months and year-end.  Coordinates the collection of APS adjustments, enters the adjustments and works with IT and ARC to ensure results are correct and reflect the needed adjustments. Works with IT, accounting, the business units, and the bank to ensure calculations are conducted, results are communicated and payments are dispersed appropriately.
  1. Reviews and coordinates Agency Value Services (AVS) requests and reimbursements.  Reviews requests for co-branding, community sponsorships and hospitality to ensure agency request meets the AVS and branding guidelines.    Communicates with Distribution Resource Leader, Trilogy Agency Coordinator and department leaders  as needed to ensure effective and professional communication of approved or unapproved AVS requests.  Processes all agency reimbursements in database, monitors and responds to agency emails and dedicated AVS phone line. 
  1. Coordinates  supplemental compensation payments for those agencies contracted to receive supplemental compensation.  Reviews agency combine reports, prepares check authorizations and communicates internally and externally.
  1. Coordinates requirements and implementation of compensation changes between the CUO , PL Product, IT, the CCT and business units. Works with the Marketing Communications department providing facts and pertinent information related to the compensation changes to develop external and internal communications.
  1. Researches commission questions with IT and coordinate any corrections with IT, WIC, business units and Marketing Communications. 
  1. Assists with the review, revisions and communication of changes to the Westfield Agency Agreement at review cycle.  Works with business units, marketing research, legal, and the CCT department to obtain input, draft changes, and distribute to agencies.  Works with Marketing Communications to develop internal and external communications.

  1. Bachelor’s degree or 5 years related experience.  
  2. Ability to analyze data and legal contracts in order to draw conclusions and complete tasks.
  3. Demonstrated detailed orientation.
  4. Proven ability to perform multiple priorities and meet deadlines.
  5. Proven ability to work effectively with all levels in the organization.
  6. Strong oral, written and interpersonal skills.
  7. Working knowledge of MS Excel, MS Word and MS PowerPoint.
  8. Working knowledge of the Agency Information System on 5.3 and Agency Information System (AIS 3.0)
  9. General knowledge of insurance business operations.

  3. Ability to travel as required.
  4. Ability to operate an automobile within the parameters of the driving policy.
