This position will provide administrative support primarily for the Corporate Director of Government and Community Relations, but will also work with volunteers and other members of the executive office in administrative details. Interested applicants must be completely self-directed, adept at managing tight deadlines and multiple priorities in a fast-paced, high-volume work environment, interfacing with government officials and community leaders. Excellent oral and written communications skills are a must. Ability to type accurately and proofread well is essential. Previous, comparable, Administrative Assistance experience is required, as is the ability to work independently. An example of experience would be at least one to two years.  Responsibilities will include working with all SDZG departments, coordinating projects, scheduling meetings, managing expense reports, making travel arrangements, major mailings, and other various clerical duties. Confidentiality is critically important. Qualified applicants must have advanced knowledge of MS Word. The schedule will be weekday mornings, 20 hours or more per week. Final candidates will be tested for computer proficiency.  (Extended 8/27/14)

REQUIREMENTS:

PRIMARY PURPOSE

The Administrative Assistant performsall job assignments with a positive attitude that reflects the San Diego Zoo Global’s mission and vision of saving species worldwide by uniting our expertise in animal care and conservation science with our dedication to inspiring passion for nature and leading the fight against extinction.  The Administrative Assistant provides secretarial/administrative support of moderate difficulty, coordinates various office activities, and does not formally supervise support staff. This position reports to a Manager/Supervisor.
 
ESSENTIAL FUNCTIONS: 
 

  • Provides secretarial support
  • Schedules assigned director's/manager's calendar
  • May assign work schedules to staff as appropriate
  • Screens and assists visitors/callers
  • Serves as receptionist as needed
  • Produces a variety of reports and documents
  • Reviews and distributes mail
  • Composes/editsroutine correspondence
  • Works with donors and volunteers as assigned
  • Arranges meetings and takes minutes as required
  • May provide lead guidance to clerical staff
  • Maintains a variety of contacts in order to respond to inquiries and requests.
  • Adheres to all SDZ Global and department policies and practices
  • Practices the GRRREAT Customer Service Standards

 
REPRESENTATIVE DUTIES 
 

  • Maintains specialized databases, scheduling systems, records, and files
  • Makes travel and accommodation arrangements for staff and visitors
  • Coordinates departmental/office activities, services, and facilities with contractors, vendors, governmental agencies, other departments and organizations, media, and the public as appropriate
  • Orders and stocks office and specialized supplies
  • May provide desktop publishing support
  • May serve as department computer resource
  • May track budget items

ANCILLARY FUNCTIONS

Performs related duties and responsibilities as required.

QUALIFICATIONS

Examples of representative qualifications include at least one year experience in a professional secretarial/ administrative capacity; may require valid California driver license.

  • Basic recordkeeping

Ability to:
 

  • Use word processing in preparing routine documents
  • Use database, spreadsheet, and desktop publishing systems is desirable
  • Use office equipment

  • Take fast notes or shorthand is desirable in some assignments
  • Communicate effectively (oral and written)
  • Work effectively with others

WORKING ENVIRONMENT

Office environment.
 

PHYSICAL DEMANDS

Prolong sitting; occasionally lifting approximately 25-35 pounds.
