POSITION DESCRIPTION:
Percepta is looking for an Administrative Coordinator who will support to Facilities and Site Operations


Duties and Responsibilities:


Facilities
  • Issue employee, vendor and visitor badges in accordance with badge procedures
  • Maintain accurate records for quarterly Access Review with Facilities and HR for security purposes
  • Monitor and authorize entrance and departure of employees, vendors and visitors
  • Works in close relationship with the Facilities Specialist
  • Greets and directs visitors to the company
  • Answers telephones and directs the caller to the appropriate associate
  • Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information
  • Receives mail, small packages, publications and calls mail room for pickup
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
  • Other duties as assigned

 

 
Administrative
  • Process monthly Birthday and Anniversary Cards
  • Create announcements, flyers, posters, postcards, desk drops, communications, etc
  • Assist in the preparations for employee activities and community events
  • Assist with ordering supplies for events and meetings
  • Issue refunds to employees and contact food service vendor regarding issues related to snack/drink machines
  • Assist with data entry
  • Update and maintain center emergency contact lists

  • Maintains strict confidentiality in all matters
  • Work on improving own skills 


POSITION REQUIREMENTS:
Required Experience:
  • 1 – 2 years related experience and/or equivalent combination of education and experience

 

Skills
  • Excellent customer service skills
  • Strong interpersonal skills
  • Able to maintain confidentiality
  • Strong organization skills
  • Excellent verbal and written communication skills
  • Ability to work independently and accept direction on given assignments
  • Working knowledge of Federal Express, UPS pickups and deliveries
  • Proficient in Microsoft Office to include:  Word, Excel, PowerPoint, Outlook or email system
  • Excellent time management and organization skills
  • Proven ability to prioritize and complete multiple tasks under pressure


Education
 

  • High School Diploma or equivalent 

Other
  • Must be able to work varied shifts
  • Occasional overtime required

 

Physical and Logistical Requirements (Including equipment used)
  • Ability to sit or stand for long periods of time
  • Ability to lift 50 pounds
  • Ability to climb ladders if required to store boxes, etc.
Familiar with and able to use office equipment:  Computers, printers, Fax, copiers, calculators.
