Job Description

Location: Oneida, NY

Full-Time; Monday-Friday/Days

Our Admissions Associate greets clients of the Health Center, facilitiates the patient registration process and schedules appointments.  Other duties may include:

  • Greets clients and visitors of the Health Center in a friendly and professional manner and facilitates the patient registration process.
  • Provides the necessary forms and assists clients in completing paperwork as necessary.
  • Collects and maintains all patient demographic data and updates information at each appointment. 
  • Upon intake, obtains copies of all insurance cards and enters information into the database; identifies any discrepancies and updates the system accordingly.
  • Schedules and confirms medical appointments; tracks no shows and cancellations utilizing a computerized scheduling system. 
  • Answers multi-line telephone within three rings, screens calls according to guidelines, and directs calls to appropriate Health Services staff ensuring that flagged calls go to the nurse for triage.
  • Identifies alternative resource needs and refers to the Alternate Resource Specialist as necessary.
  • Obtains prescription refill information from clients, logs the call, and routes them to the Health Information Assistant in a timely manner.
  • Maintains the waiting area environment, ensuring that it is neat, clean, safe, and free from environmental hazards.
  • Adheres to all Oneida Nation Health Services Security and Confidentiality policies and procedures in regards to all daily job functions, and receives annual update training regarding each area.
  • Performs other duties as assigned.

Job Requirements

Minimum Qualifications:


  • High school diploma.
  • At least one year of medical scheduling experience in a family practice setting.
  • Proficient in medical terminology, knowledge of computers and excellent data entry skills.
  • Ability to multi-task in a fast-paced environment and work effectively both independently and as part of a team.
  • Ability to communicate with patients, patients’ families, co-workers, and providers in a professional, respectful and courteous manner. 
  • Ability to maintain strict confidentiality.
  • Must be dependable and flexible in their work schedule.
