Administrative/Office Support

This position works 40 hours per week, but is a 3-month temporary assisgnment.

The Receptionist fields and delivers all incoming telephone calls to the General Manager and/or Executive Team in a personable, highly professional manner.  Provides personable reception to in-person visitors/guests and general administrative support to the Executive Assistant to the General Manager.
DUTIES & RESPONSIBILITIES include the following. Other duties may be assigned.
Receptionist Duties:

  • Answer, take and relay phone calls/messages to the General Manager and Executive Team. 
  • Greet and Direct Visitors and Team Members.  Offer visitors something to drink if they have to wait in lobby.
  • Coordinate catering in conference room when needed for meetings.
  • Book conference room for meetings as requested.  Maintain conference room calendar.
  • Stock refrigerator in conference room, GM office and Exc. Asst’s office
  • Order all supplies for GM’s office, order beverages to refill refrigerators, order supplies for copier room.
  • Keep copier room stocked with paper, refill toner, stapler, etc.
  • Keep reception area, conference room and copy room tidy (dust, wipe down tables, straighten chairs, etc).
  • Communicate with all Casino Resort & Spa departments.
  • Distribute incoming faxes.
  • Keep mail slots updated.
  • Machine Maintenance (clear paper jams, put in new toner, etc).
  • Water plants in lobby, GM office and executive assistant office
  • Sign for deliveries.
  • Monitor bathrooms for supplies and order as needed (tissue, air freshener).
  • In charge of MCRS phone list.  Updates monthly and distributes out.
Administrative Duties:

  • Performs various assignments/projects for the General Manager and/or Directors of the Casino Resort & Spa as communicated through the Executive Administrative Assistant.
Specific administrative job duties;
  • Handle all the charity request letters on a daily basis.  Log charity request into system, create a summary sheet for GM office approval or denial, type up approval/decline letter and send out to charity.  Maintain master charity log and track what we give in donations.
  • Make copies of guest comment cards and distribute to appropriate department director.
  • Card shaving as needed.
  • Newspaper clippings for Marketing department.
  • Send out birthday cards and order more birthday cards when needed.
  • Help Exec. Admin with weekly meetings (print out financial reports, make meeting packets, help with the agenda, etc).
  • Update Marketing binder, Press binder, Boxing binder and Entertainment binder on a weekly basis.
  • Help PBX and Entertainment with Phone Trees. Help to update as needed.
  • Order all memorabilia that we get autographed by our entertainment acts and give out to players at meet n greets.  Track all items that we buy and give out.
  • Help print out pictures and at times take pictures at Meet N Greets.  Orders frames for the pictures and put them in.
  • In charge of the executive office recycle program. Order the recycle bins and makes sure proper recycling procedures are in place.
  • Sort through GM Office mail and prioritize.
  • Listen to voicemails and respond to general inquiries.

Excellent communication skills on the telephone, as well as in person.  Ability to maintain strict confidentiality of classified information.  Highly effective communicator, motivator with excellent customer service skills.   Strong typing skills and the ability to operate standard office equipment.  Must be competent with various PC-based software programs:  Microsoft Word, Excel and Power Point.  Ability to tactfully and diplomatically deal with the public and staff.  Must possess excellent business sense and high professional ethics.  Must possess a high regard for customer service and employee relations.
Casino and/or hotel experience preferred but not required.  High School diploma or GED required.  Position requires 1 - 2 years executive level office support experience, an AA degree in business administration preferred (equivalent work experience providing necessary background for the position is acceptable).
