JOB DESCRIPTION:
Overview:
 
Canon Business Process Services has an opening for a Facilities Coordinator. This position is responsible for coordinating and managing maintenance requests such as, but not limited to, ensuring the optimal function of building systems (HVAC, Utilities and Life Safety), daily ownership of office and common space maintenance and enhancements.
 
Responsibilities:
 
Responsibilities include but will not be limited to:
  
Perform conference set-ups including audio visual equipment
 
Assist with coordination of weekly personnel relocations
 
Assist with the coordination of maintenance request with the building personnel
 
Assist with relocation of records file boxes during quarterly purges
 
Perform personnel file shifts
 
Perform all light maintenance requests to include: picture hanging, furniture relocation and minor furniture repair

JOB REQUIREMENTS:
Qualifications:
 
The incumbent in this position should possess at least a High School Diploma, preferably with some experience with Microsoft Word and Excel. Please note, must be able to lift and/or move up to 75 lbs.
  • Liaise with the local building management  (see attached for contact information by location) if any of the following issues arise and follow up to ensure problem was corrected
    • Report any leaks from the bathrooms,  pantry(s) and ceilings
    • Report any issues of no heat or air conditioning – hot and cold calls
    • Report any lights out in our space or in the common elevator lobby and bathrooms
    • Report any cleaning nor performed the evening before i.e. no garbage picked up, counters left dirty, dirty floors etc
    • Arrange through the building for exterminator services
    • Ensure that the building cleaning vendor provides specially procured cleaning services such as carpet cleaning, microwave cleaning, refrigerator cleaning
  • Work with the Tower Corporate Administration Group or Canon Management prior to forwarding any notifications sent by building management  - for example, notice of building conducted fire drills, building sponsored events, building requests for removal of personal items to prepare for window cleaning
  • Assist Corporate Administration Management with the following:
    • Facilitate office moves
      • Updating automated floor plans with these office moves
    • Security
      • Adding or deleting security ID badges or keyfobs when employees are hired/terminated
      • Provide replacement ID badges or key fobs for employees
      • Ensure that card access and entry doors are working properly
    • Office Supplies and Cleanliness
      • Track and order all pantry supplies through corporate administration preferred vendors – paper goods, coffee, coffee supplies
      • Contact vending machine company if the vending machines are not working or require filling
