JOB DESCRIPTION:
Overview:
 
Canon Business Process Services has an opening for a Conference Center Technician.  The Conference Center Technician position is many times the first point of contact with clients, employees, visitors, and vendors, and therefore should always project a positive attitude and professional appearance. The way in which you conduct yourself is a reflection on the entire company. This position requires excellent customer service skills, ability to prioritize in an ever changing environment, as well as attention to detail.

Responsibilities:
 
Responsibilities include but will not be limited to:
 
Directly oversees and coordinates AV equipment, video conferencing setups, inventory and troubleshooting.
 
Work with outside AV vendor, as needed, to assist in running vendor and client meetings.
 
Oversees, coordinates and provides first level management of the conference center and Lecture Hall.
 
Acts as the escalation point for disputes and issues relating to these services.
 
Interacts with all departments, support staff, vendors, and visitors.
 
Works independently on many tasks.
 
Maintain conference center equipment checklist, while learning the use, care, and maintenance of each.
 
Immediately reports any equipment malfunctions to Site Manager.
 
Turns on hallway lighting in conference center and turns off conference room lighting when not in use.
 
Turns on scroll board monitor, projector and TV
 
Coordinate equipment repairs with AV vendor.
 
Coordinate scheduling and set up with AV vendor if external AV support is required.
 
Checks presentations, in advance and when possible, to ensure compatibility with Lecture equipment.
 
Track T&M for billing and chargeback purposes from outside vendor services.
 
Maintain inventory levels of all conference center supplies, i.e. projector bulbs, flip charts, etc.
 
Provide AV support, via control room, on short notice.
 
Ensure that conference and storage rooms are clean, neat, and that all requested/scheduled tools are in place and working properly.
 
Maintain daily/weekly logs noting all aspects of conference center standards for furniture and furniture configurations (i.e., conference rooms should have the same style chairs within a given room) Straighten and realign furniture between multi-day events (i.e., align chairs, tidy room, etc.)
 
Check scheduling for next day set up requests
 
Other duties and special projects as requested
 
Backfill OSR position when required.


JOB REQUIREMENTS:
Qualifications:
 
The incumbent in this position should possess a high school diploma, and be profiicient in Microsoft Windows; Microsoft Excel, Microsoft Word, Microsoft Power Point Mac and ability to trouble shoot software versions for presentations so they are able to be used together.  Must  have experience with AV equipment and worked with soundboards.  The ideal candidate should be a proactive professional with strong organizational, communications and problem solving skills and stays current with industry technology. Ability to communicate information and to speak in a clear, coherent and accurate manner.  Also required is the ability to interact with other employees, vendors, and customers in a socially adept manner; sociable and personable, keep records, files, checklists, performance records, and prepare reports analyzing and summarizing information about the conference center and its usage.
