Job Description:
Position purpose/ scope: Responsible for coordinating and maintaining the organization of the front office area to include recruitment , multiple administrative tasks and directly handling concerns, requests and questions from employees and visitors. Must be a current, valid notary public.
 
Job Requirements:
Essential: •Schedule applicants for pre-processing & processing • Process all new hires (pre-processing & processing) • Answer multi line department telephone lines and transfer/screen calls as needed • Greet all visitors, answer questions and direct accordingly • Update/replenish all new hire documents • Organize new hire paperwork (PANs, requisitions, etc.) • Replace and inventory name badges • Continuous communication with department heads/managers with regard to questions on new hires, orientation checklist, etc. • Input active and declined applications as well as change of address for current employees • Contact applicants with incomplete applications • Update licensing • Process all PGCB applications (New applications and renewals in Slotslink) • Forward all background information to Security • Track EEO, I9, and drug test forms •  When needed, process out voluntary/involuntary employees • Represent HR at monthly safety meetings • Prepare one page in-house employment verifications on request • Filing of employee forms • Adhere to Company and departmental policies • Other job-related duties as directed Non-essential: Knowledge and skill requirements: Essential: •Must be a current Notary Public* Ability to communicate with employees and visitors • Ability to read, write and speak English (bilingual skills a plus) • Ability to type 40 wpm • Knowledge of Microsoft office applications including Word, Excel and Outlook • Ability to multi-task • Strong organizational • Ability to handle high volume of incoming phone calls and traffic Non-essential: None Physical requirements: Essentials: • Ability to lift, push and pull up to 50lbs • Ability to sit and stand for long periods of time • Reaching, turning and kneeling to file and process paperwork Non-essential: None Relationships: • Reports to Human Resources Manager • Interacts with all Supervisors, Managers and Directors Measures of performance: • Able to complete projects in a timely manner • Comply with all Company, State and Federal laws Impacts on revenues and profit: None
