Capital Campaign Development Manager

Job Description:

OVERVIEW

 

Agua Caliente Cultural Museum (ACCM) is embarking on the next phase of its Capital Campaign. Reporting to the Executive Director, the Capital Campaign Development Manager (CCDM)

will support the Board of Directors, Development Committee, and Capital Campaign Steering Committee in their work on the Capital Campaign. The Capital Campaign Manager will keep the Capital Campaign on schedule and progressing with a high level of visibility and momentum, engendering a sense of excitement, optimism and confidence in achieving the Capital Campaign goal.

 

MAJOR RESPONSIBILITIES

 

  • Overall Capital Campaign management and organization including pipelines, prospect tracking, strategy, task assignment and maintenance of timelines.
  • Researching, identifying, and soliciting prospects.
  • Presentations to potential donors.
  • Scheduling meetings, preparing talking points, assembling presentations, and full meeting preparations for Board members, Development Committee members, Capital Campaign Steering Committee members, Executive Director and staff.
  • Overseeing acknowledgement of all campaign gifts and pledges and preparation of pledge payment reminders and pledge agreements.
  • Writing all Capital Campaign correspondence including solicitation proposals, meeting requests, and meeting follow up.
  • Creating Capital Campaign brochure.
  • Leading the marketing campaign for the new museum, including but not limited to press conferences, advertising, media relations, branding, and tourist attraction.
  • Maintaining master Capital Campaign calendar to maximize cultivation events and keep campaign committee on track.
  • Organizing and monitoring volunteer assignments and follow-up.
  • Actively working with museum staff, Board of Directors and Development Committee on Naming Opportunities, Donor Wall, and donor recognition for the new museum.
  • Organizing the Soft and Grand Opening for the new museum.

 

 

 

RESPONSIBILITIES – DETAILS

Major Donor Work

  • Make arrangements for meetings with major donors: Work with the Executive Director and campaign leaders to schedule meetings with prospective donors, including email and phone calls to all people involved. Once the donor has agreed to meet, CCDM is responsible for making the meeting happen.

 

  • Assist the Executive Director and other campaign leaders with momentum for arranging meetings with donors. CCDM makes suggestions about possible meetings/engagement opportunities and encourages the leaders to be proactive in reaching out to donors.

 

  • Handle meeting responsibilities including:  Making lunch reservations, coordinating schedules with a staff person for a tour of the grounds, sending a confirming email or note the day before the meeting, sending any necessary information to the donor before the meeting.

 

  • Prepare materials needed for major donor meetings: While the Coordinator customizes materials, CCDM keeps them updated and organized. Prepares package of materials for donor meetings as directed by the Executive Director and solicitors.

 

  • Follow up from major donor meetings: CCDM makes sure the donor is thanked appropriately and receives the materials or follow up action promised at the meeting. He/she makes sure that records of the meeting are updated and filed, and that follow up actions are noted so they can be acted on in the future.

 

  • Conduct prospect identification and research: CCDM conducts prospect research to identify prospective donors, and to gather information about people – new prospects as well as current donors.

     

  • Work with the Capital Campaign Steering committee, develop and execute a communication plan for donors.

     

  • Plan and execute small campaign related events.

 

Campaign Committee Work

  • Schedule committee meetings in coordination with the Executive Director and campaign leaders:

CCDM ensues that all necessary materials are organized and available at the meeting.  

  • Attend all committee meetings: CCDM keeps accurate notes of each meeting, especially who agreed to do what actions following the meeting.  
  • Conduct follow up after each committee meeting:  CCDM reminds all committee members what they have agreed to do and provides them whatever clarification and/or assistance they need to get the task done. He/she coordinates other meeting follow up such as drafting notes for the Executive Director and campaign leadership to work with after the meeting.

 

Gift Acknowledgment and Tracking

  • Manage every Capital Campaign gift and pledge seamlessly so that the donor is officially thanked within 48 hours of receiving the gift and thanked again by other members of the campaign team.
  • Ensure that each gift is credited appropriately in the accounting system, noting any ongoing pledge payments and reminders.
  • Update the Capital Campaign reports with gift details.
  • Maintain an updated list of Naming Opportunities.

 

Campaign Reporting and Coordination

  • Develop and maintain an accurate report of Capital Campaign progress to date.
  • Coordinate with other Development staff to ensure that all contact with campaign donors does not conflict with the Development Committee /Dinner in the Canyons or other operations fundraising and volunteer efforts.

 

Communications and Public Relations Planning

  • Develop and execute a public relations/communications plan (in coordination with Capital Campaign leadership and staff) to keep the campaign in the public eye and maintain its momentum.
  • Support the Executive Director and Capital Campaign leadership in planning and implementing a strategy to access public funding.

Job Requirements:

QUALIFICATIONS

 

ACCM seeks a seasoned, responsible, focused individual, with outstanding organizational skills and high level of accuracy. Experience in and knowledge of fundraising, specifically capital campaigns, is required.

The successful candidate will be self-motivated, detail-oriented, creative, strategic, professional, and able to manage multiple projects under tight deadlines. Excellent writing, analytical, and research skills are essential. Candidates must have a high level of computer literacy, including experience using online databases and other sources to locate financial and philanthropic information, and possess exceptional interpersonal skills with a strong ability to work collaboratively with all levels of staff, volunteers, Board and committee members, donors, and prospective donors.

 

Bachelor is degree is required. Three to five years fundraising experience relevant to the responsibilities. This is a full-time two-year position with the possibility of extension.
